Facility Use
Reservations are first-come, first-served and not final until approved and all fees are paid.

Call City Hall to confirm your date and preferred space.

Download the PDF and fill in Renter Info, Event Details, Facility selection, and totals. Sign the form.

What You Can Reserve
- Parks & Outdoor: Park Lake (East/West), West Side Park, Perch Lake, Courtyard Gazebo, etc.
- Sports Areas: Park Lake Field, Softball Complex
- Event Venues: BH Convention Center, Multi-Use Facility, Ilfeld Warehouse, Civic Center Room, Gymnasium
Prohibited: Alcohol, fireworks, firearms, and glass (unless specifically allowed by ordinance/permit).
Keep a signed copy of your agreement at the event.
Fees, Deposits & Keys
- Deposits are due at submittal and refundable if the facility is left clean/undamaged.
- Rental fees are due 10 business days before the event.
- Key deposit (when applicable): $5; return keys the first workday after your event.
- Some events may require liability insurance naming the City as additional insured.
A facility is considered rented only after your completed form is received, required fees/deposits are paid, all required
documents are provided, and the City issues written approval.
How to Fill & Submit the PDF
Windows (PC)
- Click Download Facility Use Agreement (PDF) and save it.
- Open with Adobe Acrobat Reader (free).
- Type into all fields: Renter Info, Event Details, Facilities, totals.
- Sign: Use “Fill & Sign” in Acrobat (or print, sign, and scan).
- Save (e.g.,
Smith_FamilyReunion_2025-06-14.pdf). - Email to docs@santarosanm.gov or submit in person.
Trouble typing? Use Adobe Acrobat/Fill & Sign or print and fill neatly.
iPhone (iOS)
- Tap the PDF → Share → Save to Files.
- Open in Files → tap the PDF → tap Markup (pen tip) to add text/signature, or use Adobe Fill & Sign.
- Tap Done → Save.
- Open Mail, attach the saved PDF, send to docs@santarosanm.gov.

FAQ
Do I need insurance?
Some events require liability insurance naming the City of Santa Rosa as additional insured. If required, include the certificate with your packet.
When are rental fees and deposits due?
Deposits are due when you submit your form. Rental fees are due 10 business days before the event.
How do keys work?
A $5 key deposit may apply. Pick up keys before your event and return them the first workday after.
Park hours and setup rules?
Park hours are generally 7:00 a.m.–10:00 p.m. Avoid glitter/confetti; don’t use staples, nails, spray paint, or paint on City property.
How long can I keep a recurring reservation?
Ongoing or recurring reservations are valid for up to six months at a time.
